Airbnb welcome message templates: confirmation and pre-arrival

The messages every booking should get, ready to copy — confirmation, pre-arrival and the day-of code — and the timing that makes each land when it's useful instead of when it's noise.

Two messages, two jobs

The booking confirmation goes out the moment a booking lands. Its job is reassurance: a person answered, the dates are right, and here’s where everything about the stay will live. Guests book while they’re still three tabs deep in comparison mode, and most can cancel free for 48 hours — a fast, warm reply is what closes the other tabs, and it sets the tone for the whole stay and the review at the end of it.

The pre-arrival message goes out about a day before check-in. Its job is logistics: check-in time, how entry works, and the link to the details — sent at the moment the guest is finally paying attention. Anything sent at booking time about arrival is forgotten by arrival; that’s not the guest’s failure, it’s the timing’s.

The booking confirmation

Send it the same day the booking arrives — automated, the same minute. Short, warm, one link. No rules yet: nobody has ever felt welcomed by a security deposit clause.

The pre-arrival message

Send it 24 hours before check-in. If the booking was made inside that window, skip it — the confirmation they just received already says everything, and two near-identical messages in an hour reads as a bot.

The day-of code message

If your code doesn’t live on a page that reveals it on schedule, there is a quiet third message: the morning of arrival, short, and the only one carrying the code itself. Codes sent weeks early get screenshotted and forgotten; this one is read standing up, so it says almost nothing else.

Tone, in three rules

  • Write like a person with a name, not a property with a policy. Contractions allowed; their first name, always.
  • One link per message. Give a guest two and they'll open neither.
  • Keep each message under a phone screen. The wall of text that covers everything is the message nobody reads, and then nothing was covered.

Automate them, honestly

Both messages are better automated — not because a robot writes them (it shouldn’t; write them once, in your voice) but because the confirmation’s whole value is speed and the pre-arrival’s is timing, and a human with a life delivers neither reliably. Airbnb can do it itself: scheduled messages, in your host inbox settings, trigger on booking, check-in and checkout — free, and plenty for a listing or two.
